The basics

What is a visitor management system?

It's the software that replaces the paper signing-in book at reception — and does the things a book was never able to do.

When someone arrives at your building, a visitor management system records who they are, who they're there to see and when they arrived. It notifies the host, prints or displays a badge if you use one, and keeps a live list of everyone currently on site. When they leave, it records that too.

That last part is the one that matters most. A signing-in book tells you who arrived. It rarely tells you who is still in the building, because people don't reliably sign out — which means the one moment you genuinely need it, during an evacuation, is the moment it's least trustworthy.

There's a data protection angle too. An open book on a reception desk shows every previous visitor's name, company and host to whoever signs in next. A visitor management system doesn't.

Entris handles all of this and runs in the cloud, so there's no server to maintain and reception doesn't depend on one machine in one building. If you also need to control who can physically open which door, that's access control — a separate but complementary system we also install.

Most visitor management systems are sold through a reseller, which means the people you speak to didn't build the thing they're selling you. Entris is different: we develop it, support it, and act on the feedback we get.

Because Entris is fully cloud-hosted, it works for organisations anywhere in the UK — single-site offices, schools, and multi-site businesses. There's nothing to install on premise and onboarding is remote.

What is a visitor management system?

Who is Entris for?

Any organisation where people who aren't staff come through the door: offices, schools, commercial premises and multi-site organisations. If reception currently runs on a book and a phone call, Entris replaces both.

Do we need to install anything?

No. Entris is cloud hosted, so there's no server to set up or maintain. You need a device at reception for visitors to sign in on, and a browser for anyone administering it.

What happens during a fire alarm?

The live on-site list is available on any device with a browser, so whoever is running the roll call can see exactly who signed in and hasn't yet signed out — rather than relying on someone remembering to carry the book outside.

Does Entris work with access control?

They're separate systems that complement each other: access control decides who can physically open a door, visitor management records who is on site and tells their host. Syntari installs Paxton access control as well, so we can advise on running both together.

How much does Entris cost?
